Test flow – Staff user (Sales / Manager)
Your role: Staff user (a role created by the company admin: for example Sales on My Data, Manager on All Data)
You work for the company with the menus and data the admin gave your role. Most of your work is the same screens as the admin, limited by your role – check that you see exactly what the role allows, and nothing else.
Start: The company admin has created your user and role (see the admin flow, steps 7–8) and assigned a customer to you if you are on My Data.
- Use ONE test order from start to finish; the other roles in the team use the same order.
- For every problem send: page, what you did, what you expected, what happened, screenshot.
- [upload] = only works after the latest local fixes are uploaded.
Whole shipment: Setup → Lead / Customer → RFQ → Quotation → Load Board bid → Order → Dispatch → Delivery (POD) → Customer invoice → Carrier invoice → Reports
1. First look (shipment stage 2)
- Log in as the staff user → only the menus of your role appear; a menu you were not given is not shown and its address gives "forbidden".
- Dashboard: with My Data you see only your own / your assigned customers' numbers; with All Data you see the company. With My Data the dashboard shows a "My Data" label and no switch; with All Data a My Data | All Data switch.
- HRM → User List / Carriers / Expenses: on My Data only what you created (carriers also the ones serving your customers); on All Data everything of the company.
2. Lead and customer (shipment stage 3)
- CRM → Add Lead: name, company, email, phone, address → Save. Also try Bulk Upload Leads with a small file.
- Open the lead → add a Follow Up (status, date, note – these are required). Check Follow Up Leads, Missed Followups, Quotation Leads.
- CRM → Customer → Add (or convert the lead): a customer you create is assigned to you automatically.
- The customer the admin assigned to you shows in Customer List; customers of other staff do not.
3. Quotation, order and tracking (stages 5–9)
- Quotation → Quotation List / Approved Quotation List: only your customers' quotations.
- Order → Order List / Pending Orders / Dispatch List / Tracing / Delivered Orders: only your customers' orders (an order the admin created for your customer appears for you too). Open an order → Action menu shows only the actions your role allows.
- Load Board → Carrier Bids / Approved Bids: only bids on your customers' loads.
4. Invoices (stages 10–11)
- Invoice → Customer Invoice (A/R) and Carrier Invoice (A/P) lists: only your customers' invoices; every drop-down filter (customer, carrier, currency, bank) lists only your own customers; grouped payments show only your customers.
- Try Receive Payment / Make Payment if your role allows it – an over-payment must be refused [upload].
5. Expenses (stage 12)
- Expenses → Add Expense (category, amount, invoice no.): a negative amount and a duplicate invoice number must be refused [upload].
- Add Vendor Expense, Expense List, Vendor Expense List: on My Data only your own entries.
6. Reports (stage 13)
- Open each report your role has (Order, Invoice, Quotation, Expense, Commission …): totals must match your own data. Company-wide reports (Accounts Receivable / Payable) are for All Data roles.
7. Isolation check – the most important one (stage 14)
- Staff on My Data: dashboard, every list, every filter drop-down, grouped payments and Closed Bids show ONLY the customers assigned to you.
- Type another staff user's or another company's order / invoice id in the address bar → "not found".
8. Notifications and permissions (stage 15)
- Notifications: with the notification view permission the menu is there (only your own data on My Data); without it the page says "forbidden" [upload].
- Print / PDF / Excel buttons on the list pages are shown only if your role has the matching Export permission.
- Profile: open and edit your profile; an empty username must be refused [upload].
